When an employer, a licensing board, or another school asks whether someone completed your course, the answer is a letter like this: dated, on letterhead, addressed to whom it may concern, stating that the named participant completed the named course with the record drawn from the official course register. The record table carries the completion date, instructional hours, a highlighted final result, and a certificate number, and the closing paragraph tells the verifier exactly how to check it: contact the registrar’s office and quote the number.

The document also says plainly what it is not: the footer notes it is not an academic transcript and does not by itself certify a professional license or qualification, which is exactly the honesty a verification letter needs to be taken seriously.

Before you issue

  1. 1.Generate only after results are final and moderated; a completion letter is a statement of record, and corrections after issue are painful.
  2. 2.Certificate numbers must come from the same register you archive, so a verification call two years from now finds the matching entry.
  3. 3.The final result prints whatever the sheet says, so agree the result vocabulary (Pass, Pass with Distinction, Completed) before the run instead of mixing formats across one cohort.
  4. 4.Date the letters the day the register closed, not the day someone asked; the letter date is part of the record.

Should I send a letter or a certificate?
They do different jobs. The certificate is for the participant, decorative and frameable; this letter is for third parties who need a verifiable statement with a result and a number to check. Offices that issue both give the participant the certificate and keep this letter for whoever asks.
What makes the letter verifiable?
The certificate number, provided it maps to a register you actually keep. A verifier quotes the number, your office looks it up, and the letter is confirmed or exposed. Without the register behind it, the number is decoration.
Can it state results other than a pass?
The result field prints whatever your sheet says, but think before issuing completion letters for failing results; most offices issue this letter only for successful completion and answer other cases individually.
Can a participant request another copy later?
Yes, re-run the mail merge on their row. Because the data comes from the register, the copy matches the original exactly, down to the certificate number, which is the property that makes reissues safe.
