An Avery 5160 sheet with 30 address labels filled from an Excel list

From an Excel list to printed labels in four steps

Pick your label sheet

Find the number on the package, for example Avery 5160, and open that sheet below. The address is already placed on every label.

Upload your Excel list

One row per label, with columns like Name, Street, City, State and ZIP. If your columns are called something else, you match them once.

Check the preview

The preview shows your real addresses on the sheet, so you see a long street or a missing ZIP before you print.

Generate and print

You get one PDF with every sheet. Print it at Actual size (100%) onto your labels.

Pick your label sheet

Find the number on your label package. Open the sheet to fill it from your list, or download the printable PDF and type a few labels by hand.

Doing it in Word instead

Word can print labels from Excel too, through its mail merge. These are the steps in Word for Windows and Mac:

  1. 1.Open a blank document and go to Mailings, then Start Mail Merge, then Labels.
  2. 2.Choose Avery US Letter (or Avery A4/A5) and your product number, for example 5160.
  3. 3.Click Select Recipients, then Use an Existing List, and pick your Excel file and the sheet with the addresses.
  4. 4.In the first label, click Address Block or Insert Merge Field and add Name, Street, City, State and ZIP.
  5. 5.Click Update Labels, so every label gets the same fields, then Preview Results.
  6. 6.Click Finish & Merge, then Print Documents.

Where it usually goes wrong

  • Only the first label is filled: Update Labels was not clicked, so the other labels have no fields.
  • ZIP codes lose their leading zero (04101 becomes 4101): format the ZIP column in Excel as Text before you start.
  • Every label shows the same address: the fields were typed by hand instead of inserted, or the Next Record fields were deleted.

Questions about printing labels from Excel

Which template do I need?

The one with the number on your label package. Many numbers share one layout: 8160, 5260 and 18160 print exactly like 5160, and 8163 like 5163. Each sheet below lists the numbers it also fits.

Do I need Microsoft Word?

No. MailMergic runs in the browser and makes a PDF you print from any computer, Mac included. You need your list as an Excel file, a CSV, or a Google Sheet.

Why are my labels a little off?

Almost always the print dialog. Set the scale to Actual size or 100%, not Fit to page or Shrink to fit, and choose the paper size the sheet is made for. Print the first page on plain paper and hold it against a label sheet in front of a window before you use real labels.

What happens on the last sheet?

The rows that are left fill the first labels of a new sheet, and the rest of that sheet stays blank. A list of 75 addresses on a 30-label sheet gives two full sheets and one with 15 labels.

Can I print a whole sheet of the same address?

Yes. The return address sheets (Avery 5167 and 5195) print a full sheet for each row of your list, so one row gives 80 or 60 labels with the same address. A list of members or donors gives each of them their own sheet.

Can I use Google Sheets or a CSV file?

Yes. Connect a Google Sheet, or upload an Excel file (.xlsx, .xls) or a CSV. The first row holds the column names.

I only need a few labels. Can I just type them?

Yes. Every sheet below has a free printable PDF with one text box per label. Type into it in any PDF reader and print. The outlines show on screen but do not print.

My sheet is not listed. What now?

Save the blank sheet as a PDF, upload it as a PDF template, place your fields once per label, and under Multiple rows per PDF choose Fill until full, then continue with next document. Your rows then fill every label before the next sheet starts.

Is it free?

You can try every label sheet without signing up. On the free plan each printed sheet carries a MailMergic watermark, and a paid plan removes it. See pricing.
