How to mail merge a Canva design in 5 steps

You need your Canva design and a spreadsheet with a header row (Name, Course, Date, ...). Every row becomes one personalized copy of the design.

  1. Download your design from Canva

    Leave the spots for the name and other details empty. Then choose Share, Download and the file type PDF Standard. For print quality, pick PDF Print and leave "Crop marks and bleed" unticked.

  2. Upload the PDF

    Drop the file into MailMergic. It opens as your template, looking exactly as you designed it.

  3. Add your data

    Upload an Excel or CSV file, or connect a Google Sheet. The header row becomes your list of fields.

  4. Drop your columns onto the design

    Drag Name, Date or any other column to its place and set the font, size and colour. Pick the font from the Google Fonts catalog or upload your own font file.

  5. Generate one PDF per row

    Preview any row first. Then download the PDFs as separate files or as one combined file, or email each one to the address in its row.

The built-in way: Canva Bulk Create

Canva has its own mail merge, under another name: Bulk Create. Open it from the Apps menu, upload a CSV or Excel file (or type your data in), connect each column to a text or image element, and Canva generates one page or one design per row. It can name each page from a column, and paid plans can download the pages as separate PDFs.

If you have a paid Canva plan and a short list that you will hand out yourself, Bulk Create is all you need. These are the points where people start looking for another route:

Does Canva have a mail merge?

Yes, under another name: Bulk Create. It fills one design with the rows of a CSV or Excel file and creates a page or a design for every row. Bulk Create is available on Canva Pro, Teams, Business, Enterprise, Education and Nonprofits, on desktop only, and takes up to 300 rows per run. It creates the designs; it does not send them.

Can I mail merge a Canva design on Canva Free?

Bulk Create is not part of Canva Free. You can still mail merge your design: download it from Canva as a PDF, upload it to MailMergic with your spreadsheet, and place your columns on it. You get one personalized PDF per row.

Bulk Create is not available on my Canva plan. What can I do?

Bulk Create is part of Canva Pro, Teams, Business, Enterprise, Education and Nonprofits, and it works on desktop only. On Canva Free, or on a phone or tablet, you will not be able to use it. For documents such as certificates, invitations and letters, MailMergic is an alternative to Canva Bulk Create: you keep designing in Canva, download the design as a PDF, and your spreadsheet fills it in, one PDF per row. What if my list has more than 300 rows?

Bulk Create takes up to 300 rows per run, so a longer list has to be split into several runs. MailMergic reads the whole sheet in one run; the only limit is the number of documents in your plan.

Can each certificate or invitation be emailed to its recipient?

Yes. Add an email column to your sheet, write a subject and a message with your fields in them, and every PDF goes to the address in its row as an attachment. Delivery, bounces and opens are tracked per recipient. See mail merge with attachments.

Will the names match the font of my Canva design?

MailMergic includes the Google Fonts catalog, and you can upload your own font as a TTF or OTF file. If your design uses a font from that catalog, pick the same one. For a brand font, upload the file. Size, colour and alignment are set per field.

Which Canva download should I use?

PDF Standard works for anything that is read on a screen. For printing, choose PDF Print and leave "Crop marks and bleed" unticked: the marks add a margin around the page, which shifts where your fields land. A PNG or JPG download works too, as an image mail merge.
