Your spreadsheets often hold names, addresses, pay and tax numbers. Here is who runs MailMergic, where your files are stored and how long we keep them.

Where your files are stored
Your files stay on servers in the European Union, and they are encrypted on the way there and while stored.
The app
Runs on Google Cloud in Belgium.
Your files and data
Stored with Google Cloud in its European Union region.
Your emails
Sent through the European Union region of our email provider, Mailgun.
Encrypted
In transit over HTTPS and at rest on Google Cloud.
How long we keep your files
- Documents you generate and email reports
- Deleted automatically after 30 days. In your account settings you can choose anything from 5 minutes to 180 days.
- Templates and the spreadsheets you upload
- Kept in your account so you can use them again. Delete a template and its spreadsheet and generated documents are deleted with it.
AI features
Some features use AI, for example checking your data for mistakes and suggesting where fields go. The content they need is sent to Google Vertex AI in the European Union or to Anthropic’s Claude API in the United States, under terms that forbid using it to train AI models. Your data is never used for advertising.

Schools
We provide a FERPA addendum to our DPA and review student data privacy agreements on request.
Files that must stay on your computer
The MailMergic Offline App does everything on your own computer. Nothing is uploaded.
