Can you mail merge a PDF?

Yes. A PDF mail merge fills one PDF template with the rows of a spreadsheet and gives you one finished PDF per row. Neither Word nor Acrobat has a built-in way to fill an existing PDF once per spreadsheet row, so you need PDF mail merge software. In MailMergic you upload the PDF, add your Excel, CSV or Google Sheets data, place each column on the page, and generate the files online.

What is a PDF mail merge?

A PDF mail merge lets you automatically create many personalized PDF documents from a single template. Instead of editing each file by hand, you upload your template, connect a data source like Excel, and MailMergic generates one customized PDF per row (for example: one contract, invoice, certificate, or letter for each person).

How do I mail merge a PDF with Excel?

Upload your PDF template to MailMergic, upload your Excel file, and add placeholders to our online PDF editor. Do I need Adobe Acrobat or a plug-in to mail merge a PDF?

No. MailMergic runs in your browser, so there is nothing to install and no Acrobat licence to buy. Acrobat itself has no built-in way to fill an existing PDF form once per spreadsheet row. Its "Mail Merge" option is part of the Acrobat add-in for Word on Windows: it turns a Word mail merge into PDF files, but it does not fill a PDF you already have. See the Adobe Acrobat comparison.

How do I save a Word mail merge as separate PDF files?

Word saves all records of a mail merge into one document, so getting one PDF per record takes a macro or an add-in. In MailMergic you upload the Word template and your spreadsheet, and every row is saved as its own PDF, named from a column you choose. See Word mail merge.

Can I attach a PDF to each email in a mail merge?

Not with Word and Outlook alone: a Word mail merge puts your text in the email body and cannot attach a file. MailMergic generates a personalized PDF for each row and emails it to the address in that row as an attachment, with your own subject and message. See mail merge with attachments.

Does MailMergic support Excel, Google Sheets, and CSV files?

Yes. You can upload Excel files, import data from Google Sheets, or import CSV files. MailMergic automatically detects your columns so you can start mail merging right away. See Google Sheets mail merge.

Does MailMergic store my documents or data?

MailMergic stores your uploaded files and generated documents so you can download them again if needed, then deletes them automatically 180 days after the mail merge run. Data retention is configurable from 5 minutes to 180 days in your account settings, and you can permanently delete any file at any time from inside the app. Deletion is immediate and irreversible.

Where are MailMergic's servers located?

MailMergic runs on Google Cloud Platform in St. Ghislain, Belgium, inside the European Union. Hosting in the EU ensures strong privacy protections, GDPR compliance, and reliable infrastructure for customers in both Europe and the United States.

Is MailMergic HIPAA compliant?

If your organization needs full HIPAA compliance or handles PHI (Protected Health Information), you should use the MailMergic Offline App. The offline version processes all documents locally on your computer, without sending any data to the cloud, making it suitable for HIPAA-regulated workflows. MailMergic is not an officially certified HIPAA Business Associate and we cannot sign a BAA.

Is MailMergic GDPR compliant?

Yes. MailMergic is 100% GDPR compliant. We enforce strict data-protection measures and security controls to ensure full compliance with the General Data Protection Regulation. All files are encrypted in transit and at rest. Your documents are processed on Google Cloud Platform servers in St. Ghislain, Belgium (EU).

Can I send just an email without a PDF attachment?

Yes. PDF mail merge generates a personalized PDF per recipient. If you only need to send a personalized email with no generated document, use Email-only mail merge instead. It sends each recipient an individualized email with merge fields in the subject and body, no attachment required.
