MailMergic is a mail merge tool for people who need a separate, personalized document for every person on a list. You bring a spreadsheet and a template (a PDF, a Word file, or one of the ready-made designs), and it generates one finished document per row. Download the batch, or have it email each recipient their own copy and track it. The sending is optional.

The same run can produce Excel workbooks or images, or skip the document and send email alone.

What it replaces is a contraption: Word wired to Excel wired to Outlook, a macro someone wrote years ago, an add-in that breaks at the next Office update, and one colleague who knows how it works. And it still will not attach a personalized PDF per recipient.

MailMergic needs none of it. It runs in the browser, as an offline desktop app for macOS and Windows, and in Google Sheets. MailMergic GmbH is in Eschborn, Germany, founded in 2019 and funded by its customers.

Data location
German company, EU hosting. The offline desktop app runs the entire mail merge on the device: your Excel data, your templates and the documents it generates are never uploaded, to us or to anyone else. It contacts us only to activate a licence and to check for updates.

What we think is genuinely interesting here, most interesting first. Take any of it, or ignore all of it.

  1. Mail merge without the setup

    The standard recipe for this job is a Word document wired to an Outlook profile, a macro someone wrote in 2011, and an add-in that breaks at the next Office update. MailMergic needs none of it. Open a page, drop in a spreadsheet and a template, and the first batch goes out in a couple of minutes. Nothing to install, no macros, no add-in, no Outlook profile to configure, and nothing that has to match your colleague’s setup.

  2. Your data never has to leave the machine

    The offline desktop app does the whole mail merge locally. Your spreadsheet, your templates and every document it produces stay on the machine; none of it is uploaded, and the trial needs no account. For HR files, medical letters and payroll, that is the difference between a tool being usable and being banned by policy.

  3. A spreadsheet to 500 documents to 500 tracked emails, in one pass

    The generating and the sending are the same operation, not two tools bolted together. Each recipient gets their own document as an attachment, from your own domain, with delivery and open tracking per person.

  4. Neither a Gmail tool nor a Word plugin

    Most mail merge tools are extensions to somebody else’s suite and inherit its limits. MailMergic works from Excel, Word and flat PDFs without a Google or Microsoft account, which matters for organizations that run on neither.

  5. Small, German, and not venture funded

    Built in Eschborn since 2019 and funded entirely by its customers. If you want the founder on the record about why a document tool is a reasonable thing to spend seven years on, ask.

Founder and Managing Director

Lennart Guth founded MailMergic in 2019, after technology consulting at Accenture and a German bank, then a run of his own software startups. One of them, Pacemo, put him in front of users who spent their days on government forms, and the gap was obvious: you could mail merge a Word document, but not a PDF. He built the first version himself and has never taken outside investment. A small team runs the company with him now, and he still writes code when he finds the time. Based in Eschborn, near Frankfurt, in Germany.
