A new form response from Kathleen Hanner goes to MailMergic, which fills a certificate of completion and emails it to her as Certificate_Kathleen_Hanner.pdf

Set it up once

Connect MailMergic to Zapier in 3 steps

  1. Prepare your template

Upload your PDF or Word file to MailMergic and place your fields, such as Name and Course. Each field becomes a box you fill in Zapier.

A certificate of completion in the MailMergic editor, previewed with the name Kathleen Hanner
  2. Copy your Zapier key

In MailMergic, open Settings, then Integrations, and switch on Zapier. Copy the key that appears. Zapier asks for it once, when you connect your account.

The Zapier switch turned on in MailMergic and the dialog showing the Zapier API key to copy
  3. Build your Zap

In Zapier, pick what starts it, such as a new form response. Then choose MailMergic, Run Mail Merge & Send Email, your template, and which answer goes into which field.

A Zap in two steps: a new form response, then Run Mail Merge & Send Email with the template and the Name, Course and To fields filled from the form

Your template is the only thing MailMergic needs.

What MailMergic does in your Zap

Run Mail Merge

Fills your template with the details from the step before and creates the document. The link to the file goes to the next step, for example to save it in Google Drive.

Run Mail Merge & Send Email

Creates the document and emails it as an attachment, with your subject and message, from a sender address you have verified in MailMergic.

PDF or Word

Word templates come out as Word or PDF files. Fillable PDF forms keep their fields, or are flattened so nobody can change them.

Named and protected

Name each file from your data, such as Certificate_Kathleen_Hanner. Add a password to open or to edit the file when you need one.

What people automate with MailMergic and Zapier

One template, filled in every time something happens in another app.

A certificate for every finished course

When a student submits the course completion form, their certificate is filled in with their name and course and sent to their inbox.

  • Starts from Google Forms, Typeform, Jotform or your course platform
  • Name, course and date filled in

  • Starts from your shop, payment or accounting app
  • Your own invoice design
  • Invoice number in the file name

Frequently asked questions

Which plans include the Zapier integration?

Pro and Enterprise. You can create and preview your template on the free plan; to switch on Zapier you need one of these plans. See pricing.

What can start a mail merge?

Anything Zapier offers as a trigger: a new form response, a new row in Google Sheets, a paid order, a won deal or a fixed schedule. The start comes from your other app; MailMergic does the document and the email.

Do I need to write code?

No. You pick your apps and fields in Zapier, and your template lives in MailMergic.

Which templates can I use?

PDF files, including fillable PDF forms, and Word templates. Word templates can be saved as Word or PDF files.

Does each document count toward my plan?

Yes. Each document a Zap creates counts as one document of your plan, the same as a document created in the app.

Can the email come from my own address?

Yes. Choose a sender address you have verified in MailMergic under Settings, Senders.

Can one Zap run create several documents?

Yes. Your fields accept a list (Zapier calls them line items), and each item becomes its own document.

I lost my key. What now?

Switch Zapier off and on again in Settings, Integrations. You get a new key and the old one stops working. Then reconnect MailMergic in Zapier with the new key.

Is MailMergic affiliated with Zapier?

MailMergic is an independent product with its own integration in Zapier’s app directory. Zapier is a trademark of Zapier, Inc.

Start with your template. Zapier does the rest.
