Event document template

Thank you for attending letter

The follow-up that goes out the morning after: a warm thank-you naming each guest, the evening's real numbers in the highlights, a survey ask with a deadline, and the date of the next event. One run, every guest thanked.

Rendered thank-you letter: letterhead, a THANK YOU FOR JOINING US heading with an italic subline, a highlights bullet list with amber static tokens for the totals, a survey paragraph, and a gratitude signature block

The thank-you that arrives while the coat-check ticket is still in the guest's pocket does more than manners: it closes the loop on the evening, reports what the event achieved, and points at the next date while the enthusiasm is real. This template names each guest, lists the evening's highlights (total raised, guest count, and one moment worth retelling) as static lines you fill in once from the night's actuals, and asks for feedback before a stated deadline.

Six mail merge fields personalize each letter; the highlights and the signature stay identical across the run, which is exactly right, because the facts of the evening do not change per guest. Write the statics over morning coffee, run the mail merge, and the whole guest list is thanked before lunch.

What is in the Word document

More than a block of text an AI chat can improvise: a complete, formatted document built for event teams who use it for real.

  • A letterhead letter with a THANK YOU FOR JOINING US heading and a warm opening that names the guest
  • A highlights section with three bullets: total raised, guest count, and one moment worth retelling
  • A survey paragraph with a static link and a per-letter deadline field
  • A save-the-date paragraph naming the next event and its date
  • Six mail merge fields; the highlights, survey link, and signature are set once per event

Before you send

  1. 1.Fill the highlight statics with the real totals from the night, not projections; the recipients were in the room and will notice an inflated number.
  2. 2.Send within 48 hours; the letter reads like a morning-after note, and that warmth curdles into afterthought by the following week.
  3. 3.Give the survey about a week; the deadline is a mail merge field, so set a real date in the sheet and every letter states it plainly.
  4. 4.Run the mail merge over the checked-in list, not the invitation list, or the opening line thanks people who never came.

When to use this template

Fundraisers and benefit galas

The highlights double as a same-week impact report: what was raised, for what, while the evening is still being talked about.

Conferences

Edit the highlight bullets in Word for the conference register (sessions, attendance) and keep the survey ask, which is the part that matters.

Volunteer and member evenings

The next-event paragraph quietly does the retention work, turning one good evening into attendance at the following one.

Thank you for attending letter FAQ

What makes a good highlight bullet?
Specificity. One number, one outcome, one moment: "our guests contributed $86,400 toward the Youth Mentorship Fund" lands where "the evening was a great success" evaporates. The three bullet slots are deliberately few, so each one has to earn its place.
Is this a donation receipt?
No, and the letter says so in its own footer. It thanks; it does not receipt. Donors who need a formal acknowledgment for tax purposes should receive a proper donation receipt, whose required wording varies by country and organization type.
Can each guest get a personal highlight?
The three highlight bullets are shared by design; the personal element is the guest's name and the shared evening. If you want one personal line, their auction win, their table, add a mail merge field to the letter in Word and a matching column to the sheet.
Printed or emailed?
Usually emailed, because speed is the point of a morning-after letter, and MailMergic can email each guest their own copy with a personal subject line. Print for major donors, where paper still signals weight, and email everyone else from the same run.
