The follow-up that goes out the morning after: a warm thank-you naming each guest, the evening's real numbers in the highlights, a survey ask with a deadline, and the date of the next event. One run, every guest thanked.

The thank-you that arrives while the coat-check ticket is still in the guest's pocket does more than manners: it closes the loop on the evening, reports what the event achieved, and points at the next date while the enthusiasm is real. This template names each guest, lists the evening's highlights (total raised, guest count, and one moment worth retelling) as static lines you fill in once from the night's actuals, and asks for feedback before a stated deadline.
Six mail merge fields personalize each letter; the highlights and the signature stay identical across the run, which is exactly right, because the facts of the evening do not change per guest. Before you send
- 1.Fill the highlight statics with the real totals from the night, not projections; the recipients were in the room and will notice an inflated number.
- 2.Send within 48 hours; the letter reads like a morning-after note, and that warmth curdles into afterthought by the following week.
- 3.Give the survey about a week; the deadline is a mail merge field, so set a real date in the sheet and every letter states it plainly.
- 4.Run the mail merge over the checked-in list, not the invitation list, or the opening line thanks people who never came.
