Speaker logistics fail in the gap between "we would love to have you" and the day itself: the wrong room on a slide, no arrival time, an AV surprise at ten minutes to curtain. This letter closes that gap with a session table (title, date, time, room, length) filled per speaker, and an on-the-day section that says when to arrive, where to check in, and what the room is equipped with, then asks the speaker to flag anything wrong while the program can still absorb the fix.

Before you send

  1. 1.Send only after the program locks; a confirmation followed by a room change teaches speakers to ignore your letters.
  2. 2.The AV list is a promise: confirm with the venue that every room actually has what the static text claims before the letters go out.
  3. 3.Arrival times can differ per speaker even on the same day; check the Arrival Time column against the schedule instead of filling a single default.
  4. 4.Have someone sanity-check the session titles against the published program; speakers notice a mangled title faster than any other error.

Speaker confirmation letter FAQ

When should speaker confirmations go out?
As soon as the program locks, ideally four to six weeks before the event, so speakers book travel against confirmed times and the AV request deadline still leaves the venue room to respond.
What about a speaker with two sessions?
Give them one spreadsheet row per session, so a keynote and a panel each produce their own letter with the right room and time. Two clean letters beat one letter trying to describe two rooms.
How do AV requests come back?
The letter names your coordinator and a request deadline, both static lines. Replies arrive by email; track them in the same program sheet in an AV-notes column, so the follow-up run and the requests live in one place.
Can this double as the speaker agreement?
