Speaker confirmation letter
A logistics letter that confirms each speaker's session, time, room, and arrival plan, with the AV details every green room conversation turns out to be missing. One program spreadsheet, one mail merge run, every speaker confirmed.

Speaker logistics fail in the gap between "we would love to have you" and the day itself: the wrong room on a slide, no arrival time, an AV surprise at ten minutes to curtain. This letter closes that gap with a session table (title, date, time, room, length) filled per speaker, and an on-the-day section that says when to arrive, where to check in, and what the room is equipped with, then asks the speaker to flag anything wrong while the program can still absorb the fix.
Eight mail merge fields come from your program spreadsheet; the check-in location, AV equipment list, and coordinator contacts are static text you set once, because they are the same for every speaker. Generate the batch the day the program locks, and every speaker has their details that afternoon.

Before you send
- 1.Send only after the program locks; a confirmation followed by a room change teaches speakers to ignore your letters.
- 2.The AV list is a promise: confirm with the venue that every room actually has what the static text claims before the letters go out.
- 3.Arrival times can differ per speaker even on the same day; check the Arrival Time column against the schedule instead of filling a single default.
- 4.Have someone sanity-check the session titles against the published program; speakers notice a mangled title faster than any other error.
