Before you send

  1. 1.Generate the registration codes in the spreadsheet before the run and archive that sheet; the letter prints the code, and your registration desk needs the identical list.
  2. 2.Read one full letter with the longest company name in your list; the invitation sentence should still scan naturally around it.
  3. 3.The agenda rows are static, so letters already sent do not update if the program shifts; send when the times are locked.
  4. 4.The closing paragraph invites recipients to request an invitation for a colleague; make sure the reply address on your letterhead is one somebody actually reads.

Conference invitation template FAQ

How is the registration code used?
It comes from a column in your spreadsheet, prints in the highlighted box, and gets referenced again at check-in. Generate the codes however suits you, sequential or patterned; the code on the letter and the one on your desk list always agree because both come from the same sheet.
Can the agenda differ per recipient?
No, deliberately: the program table is static text so every invitee sees the same schedule. If you run parallel tracks with genuinely different agendas per audience, save two copies of the template with different program tables and split the list.
Should this go out as a letter or an email?
Both work from the same run. MailMergic generates the letters as PDFs you can print on letterhead, or emails each one to its recipient with a personalized subject line and per-recipient delivery and open tracking.
Does the letter suit an open-registration event?
The wording assumes a curated guest list ("a small group of practitioners whose work we admire"), which is where a personal letter earns its keep. For open registration, soften that sentence in Word; the structure with the code box and program table still holds.
