Event document template
Conference invitation template
A business invitation letter with a program at a glance and a boxed personal registration code. Invite the whole contact list in one mail merge run, each letter addressed by name and company.

Conference invitations work harder when they read like a letter instead of a flyer. This template addresses each recipient by name, works their company into the invitation sentence, and closes with a personal registration code in a highlighted box, which quietly says the seat is theirs and reserved, not one of a thousand.
The program at a glance and the registration link are static text you edit once, because doors, keynote, and closing times are the same for everyone. The seven mail merge fields (name, company, code, dates, venue) change per row. Connect your contact list and MailMergic writes every letter in one run, ready to print on letterhead or to email individually.
What is in the Word document
More than a block of text an AI chat can improvise: a complete, formatted document built for event teams who use it for real.
- A letterhead business letter, not a flyer: RE line, salutation, and signature block
- An invitation paragraph that names the recipient and their company
- A program-at-a-glance table with doors, keynote, and closing times as static rows
- A boxed personal registration code with the registration link and deadline
- Seven mail merge fields; agenda times, coordinator, and letterhead are set once

Before you send
- 1.Generate the registration codes in the spreadsheet before the run and archive that sheet; the letter prints the code, and your registration desk needs the identical list.
- 2.Read one full letter with the longest company name in your list; the invitation sentence should still scan naturally around it.
- 3.The agenda rows are static, so letters already sent do not update if the program shifts; send when the times are locked.
- 4.The closing paragraph invites recipients to request an invitation for a colleague; make sure the reply address on your letterhead is one somebody actually reads.
When to use this template
Annual conferences and summits
Invite last year's attendees by name with this year's code already assigned, in one run from the CRM export.
Customer advisory events
When the room is curated, naming the company in the invitation sentence is the difference between an invitation and a broadcast.
Partner and dealer days
One contact list becomes a lettered invitation per partner, each carrying its own code for a painless check-in.
Generate it for the whole guest list at once
One document, one spreadsheet, one personalized copy per guest. That is what MailMergic is for.
Upload the document template
Use the Word download as-is, or edit it first. The mail merge fields are already in place.
Upload your guest list
One row per guest: names, tables, codes, menu choices, whatever the document needs. Excel, CSV, and Google Sheets all work.
Generate and deliver
One personalized document per guest, generated in a single run. Download them all as PDFs, or email each guest their own with delivery and open tracking.
