New member welcome letter
A warm one-page welcome with a membership-at-a-glance table and a what-happens-next list. Write one letter, or welcome every new member of the season from your roster in one mail merge run.

The first letter a member receives sets the tone for every renewal that follows, and it is also the easiest one to get wrong at volume: a season of new signups means dozens of letters, each with its own member ID, dues amount, and start date to retype. This template keeps the warmth fixed and treats the roster as data. A membership-at-a-glance table confirms the name, type, ID, start date, and annual dues, and a what-happens-next list points the member to the welcome packet, the new member gathering, and a real person's inbox.
Fill it in for one member in Word, or connect the signup export and MailMergic renders a personalized welcome for every row, ready to print or to email the week each membership starts.
What is in the Word document
More than a plain letter an AI chat can improvise: a complete, formatted Word document built for membership offices that send it for real.
- Organization letterhead with editable name, tagline, address, and contact lines
- A welcome heading and an opening that names the member, their membership type, and their start date
- A membership-at-a-glance table: name, type, member ID, start date, and annual dues
- A what-happens-next list covering the welcome packet, the new member gathering, and who to write to
- Six mail merge fields, so one signup row fills the whole letter

Before you send
- 1.Check the start date column format once against the first rendered letter; "2026-09-01" straight from a database export reads colder than "September 1, 2026".
- 2.Make sure the dues column matches the membership type column row by row; a family rate on an individual membership is the mistake new members notice first.
- 3.The gathering date fills from the sheet, but the location is edited once in the template; update it before each season's run so nobody is welcomed to last year's venue.
- 4.Send the first letter to yourself and read it as a stranger would; the welcome letter is the one document every member actually reads top to bottom.
When to use this template
Seasonal intake waves
September and January signup waves become one run each: export the new rows, mail merge, and every member is welcomed the week they join.
Rolling signups
Run weekly on the newest rows only; the saved field mapping turns it into a two-minute habit.
New chapter launches
When a founding cohort of hundreds joins in the same month, one template welcomes all of them without a single retyped member ID.
