Form 1099-NEC Copy B filled in for the fictional contractor Maya Thornton: payer Harbor Lane Bakery LLC, payer and recipient TIN, address, and 18,450.00 in box 1a

Every January a small business, a property manager or the bookkeeper who works for them hands out one 1099-NEC per contractor paid during the year. The IRS form is free, but its fillable PDF gives its boxes code names like f2_12 and carries every copy plus the filer instructions, so filling it for twenty contractors means twenty rounds of typing the same payer details.

This template is the same form with the boxes named for what they hold, cut down to the pages a recipient gets: Copy B, its instructions, and Copy 2 for the state return. Each box is already connected to a column, so a list with one row per contractor fills every copy in one run.

What is in the fillable PDF

  • Copy B for the recipient, the official IRS layout of the current revision
  • The IRS instructions for the recipient, as on the original
  • Copy 2 for the recipient’s state return, filled from the same columns
  • Every box with a readable name, such as Recipient TIN or Box 1a Nonemployee compensation
  • The common boxes already connected to 20 columns, with three example contractors
  • No Copy A, Copy 1 or filer instructions, which recipients never get

The columns your list needs

One row per person. These are the columns the form is connected to, with the first example row the template opens with.

The payer columns repeat on every row, so most firms keep them in the sheet once and copy them down. The rarer boxes (1b cash tips, 1c, 1d, 3) are on the form with readable names and can be connected to a column in one click.

Before you hand them out

  1. 1.Check the amounts against your books, one row per contractor paid during the year.
  2. 2.Truncate the recipient TIN on their copy if you like (***-**-1234); the IRS allows it on recipient statements.
  3. 3.File Copy A with the IRS separately, electronically or on the red scannable form.
  4. 4.Email only the contractors who agreed to electronic delivery, and print the rest.
  5. 5.Furnish the recipient copies by January 31.

1099-NEC template FAQ

Is this the official IRS form?

Yes. The pages are the IRS’s own 1099-NEC, current revision, with new form fields over the original boxes. Only the field names changed, from f2_1 and similar to names such as Payer TIN.

Can I file Copy A with the IRS from this template?

No. The IRS accepts Copy A only electronically or on its official red, scannable form, and if you file 10 or more information returns in a year you have to e-file. This template holds the copies you give to recipients, which the IRS lets you print from its website.

Can I email the 1099-NEC to each contractor?

Yes, for the contractors who agreed to receive it electronically: the IRS requires that consent before electronic delivery. MailMergic emails each PDF to the address in your list, as an attachment or a private download link, with delivery and open tracking. Print the copies for everyone else.

Can every PDF have its own password?

Yes. In the Download step, type @ in the password field and pick a column, for example the last name plus the last four digits of the TIN. Each recipient can open only their own form.

What does my spreadsheet need?

One row per contractor and the columns listed on this page. The names do not have to match exactly: after you upload your own list, MailMergic suggests a match for each box and you confirm it once.

Can I use the PDF from irs.gov instead?

Yes. Upload it like any fillable PDF and connect each box to a column once. The IRS file names its boxes f2_1, f2_2 and so on and holds every copy plus the filer instructions, which is why this template exists: same form, readable box names, only the pages you hand out, already connected.

Other tax form templates

These templates are general information, not tax or legal advice. The forms are the IRS’s own, with readable field names added; check each one against the current revision and instructions on irs.gov before you use it. MailMergic fills and delivers documents. It does not file anything with the IRS. Facts last reviewed October 2026.
