Form 1099-MISC Copy B filled in for the fictional property owner Linda Park: payer Cedar Row Property Management LLC and 24,600.00 in box 1 Rents

Property managers report the rent they collected for each owner, publishers report royalties, and clubs report prizes, all on Form 1099-MISC, and all for many recipients at once. The fillable IRS PDF is the same form for all of them, with 179 fields under code names like f2_20 across six pages.

This template keeps the pages a recipient gets, Copy B with its instructions and Copy 2 for the state, names every box for what it holds, and connects the common ones to a spreadsheet: rents, royalties, other income, federal and state withholding.

What is in the fillable PDF

  • Copy B for the recipient, the official IRS layout of the current revision
  • The IRS instructions for the recipient
  • Copy 2 for the recipient’s state return, filled from the same columns
  • All 44 boxes per copy with readable names, from Box 1 Rents to Box 18 State income
  • Rents, royalties, other income and withholding already connected to 22 columns
  • Three example recipients: two owners and an LLC

Before you hand them out

  1. 1.Make sure each amount sits in the right box: rent in box 1, royalties in box 2, prizes and awards in box 3.
  2. 2.Use 1099-NEC, not 1099-MISC, for payments to contractors for their services.
  3. 3.File Copy A with the IRS separately, electronically or on the red scannable form.
  4. 4.Email only the recipients who agreed to electronic delivery, and print the rest.
  5. 5.Check the furnishing date in the current IRS instructions; it can differ by box.

1099-MISC template FAQ

1099-MISC or 1099-NEC?

Payments to contractors for their work go on 1099-NEC. Rents, royalties, prizes, awards and the other income types listed on the form go on 1099-MISC. Many firms send both; each has its own template in this category.

Can I file Copy A with the IRS from this template?

No. The IRS accepts Copy A only electronically or on its official red, scannable form, and if you file 10 or more information returns in a year you have to e-file. This template holds the copies you give to recipients, which the IRS lets you print from its website.

Can I email the 1099-MISC to each recipient?

Yes, for the recipients who agreed to receive it electronically: the IRS requires that consent before electronic delivery. MailMergic emails each PDF to the address in your list, as an attachment or a private download link, with delivery and open tracking. Print the copies for everyone else.

Can every PDF have its own password?

Yes. In the Download step, type @ in the password field and pick a column, for example the last name plus the last four digits of the TIN. Each recipient can open only their own form.

Can one row fill several boxes?

Yes. Every box is a column, so an owner with rent and other income gets both amounts on one form. An empty cell leaves its box blank.

Can I use the PDF from irs.gov instead?

Yes. Upload it like any fillable PDF and connect each box to a column once. The IRS file names its boxes f2_1, f2_2 and so on and holds every copy plus the filer instructions, which is why this template exists: same form, readable box names, only the pages you hand out, already connected.

Other tax form templates

These templates are general information, not tax or legal advice. The forms are the IRS’s own, with readable field names added; check each one against the current revision and instructions on irs.gov before you use it. MailMergic fills and delivers documents. It does not file anything with the IRS. Facts last reviewed October 2026.
