For example a maiden name.

The PDF is filled in your browser. What you type, including your Social Security number, is not uploaded or stored.

Hiring a whole team at once?

Prepare an I-9 packet for every new hire from one list

Seasonal crews, a new location, a staffing agency’s next placement: open the ready I-9 template and upload your list of hires. MailMergic fills in your business details and each hire’s first day of work and saves one PDF per person, named after them. Each employee then completes and signs Section 1 themselves.

  1. 1Open the ready I-9 template. Its boxes are already connected to columns like Last name, First day of employment and Employer business name.
  2. 2Upload your hire list from Excel or Google Sheets. MailMergic suggests which column goes in which box, and you confirm once.
  3. 3Generate one PDF per hire, named after them. Print the packets, or email each new hire their own.
Prepare I-9s from a spreadsheet

Free to try with your own list, no credit card. Emailing from MailMergic needs a paid plan. Signatures stay empty: USCIS requires ink.

Your home address and date of birth. Email address and telephone number are optional.

Section 1

Social Security number

Optional, unless your employer uses E-Verify. Then it is required.

Section 1

Status

Check exactly one of the four boxes. Item 3 adds your USCIS or A-Number. Item 4 adds the end date of your work authorization, if any, and one of: A-Number, I-94 admission number, or foreign passport number and country.

Section 1

Sign and date

In ink, no later than your first day of work and not before you accepted the job offer. USCIS does not accept typed signatures on the fillable form.

Preparer or translator

If someone helped you fill in Section 1 or translated it for you, that person completes and signs Supplement A on page 3.

Section 2

You show one document from List A, or one from List B plus one from List C. You choose which; the employer may not tell you which ones to bring.

Section 2

Employer review

The official instructions are at uscis.gov/i-9.

I-9 questions

Do I send Form I-9 to USCIS?

No. The employer keeps it on file and shows it only if a government agency asks to inspect it.

Can I sign the I-9 electronically?

Not this fillable PDF. USCIS says it does not meet the standards for electronic signatures, so print it and sign in ink. Employers that use an electronic I-9 system meeting DHS rules handle signatures in that system.

Which I-9 edition is current?

The edition dated 01/20/25, which expires 05/31/2027. This page fills that edition. USCIS lists which older editions are still accepted at uscis.gov/i-9.

Do I have to give my Social Security number?

Only if your employer uses E-Verify. Otherwise the box is optional.

Which documents can I show?

One document from List A, which proves both identity and permission to work, or one from List B (identity) together with one from List C (permission to work). The full lists are on page 2 of the form, which is part of the download.

Can my employer fill in Section 1 for me?

Only as a preparer or translator, and then they also complete and sign Supplement A. Otherwise Section 1 is yours to fill in and sign.

Who fills in Section 2?

The employer or an authorized representative, within three business days after the first day of work. This page can fill in the employer’s name, business and the first day; the document details are written in after the documents have been examined.

Is my data safe on this page?

The form is filled inside your browser. What you type, including your Social Security number, is not sent to MailMergic or anyone else and is not stored. Close the tab and it is gone.

Do I need a MailMergic account?

No. Filling one I-9 is free and needs no account. MailMergic is for employers that need many filled forms, such as an onboarding packet for every new hire on a list.
