MailMergic vs InstaFill

InstaFill applies AI to a specific problem: filling existing forms, even scanned ones, from messy source data. MailMergic industrializes a different one: generating hundreds of personalized documents from your template and delivering each by tracked email. Price and purpose separate them clearly.

InstaFill pricing

InstaFill sells monthly fill credits in two plan families. One credit fills one document regardless of page count.

PlanPriceWhat you get
Professionalfrom $99/month ($79 yearly)50 fills/month plus a 250-credit batch pool, 2 users, 20 pages per document
Professional, higher tiers$189 to $899/month100 to 500 fills/month
Businessfrom $299/month ($239 yearly)100 fills/month, unlimited users, API and webhooks, HIPAA BAA
Business, higher tiers$599 to $2,199/month300 to 2,500 fills/month

The honest price math

InstaFill’s entry plan works out to roughly $2 per regular fill (50 fills for $99); its 5x batch pool brings batch work down to about $0.40 per document. Batch-filling 500 documents a month needs its $189 tier, and 500 regular fills its $899 tier. MailMergic’s flat plans start at $59 per month, are built for thousands of rows per mail merge, and include the email delivery and tracking InstaFill does not offer. If your work is high-volume generation from your own templates, the arithmetic is not close.

Choose InstaFill if

  • You fill named government or industry forms rather than your own templates
  • Your source data is unstructured (emails, scans, prior documents) and AI extraction saves real time

  • You need a HIPAA BAA and accept US data storage

Choose MailMergic if

  • You generate documents at volume from your own templates at a flat price
  • Each document should be emailed to its recipient with delivery and open tracking
  • Your data is clean spreadsheet rows, including Google Sheets, beyond 1,000-row batches
  • You want EU hosting and a free plan to start

MailMergic vs InstaFill: common questions

Does InstaFill send the filled documents to recipients?
No. Its email feature is inbound: you forward data by email and receive the filled PDF back. Output is downloaded individually or as a ZIP. MailMergic emails each generated document to its recipient and tracks delivery, bounces and opens.
Can InstaFill use my Google Sheet?
Per its own documentation, Google Sheets is not directly supported; you export to CSV first. Batches are limited to 1,000 rows, 20 columns and 2 MB, and column headers must be in English.
What does InstaFill do that MailMergic does not?
Its AI reads unstructured sources and fills existing forms, including converting scanned or flat PDFs into fillable ones, with no manual field mapping. For one-off complex forms from messy data, that is a genuine capability.
What does 500 documents a month cost on each?
On InstaFill, 500 batch fills per month fit the $189 tier (the batch pool is five times the regular fills), while 500 regular fills require the $899 tier. On MailMergic, volumes like this fit the flat plans starting at $59 per month. Prices as published on both pricing pages on July 28, 2026.
