Invoice and billing document template

Delivery note template

A delivery note with five line rows for what was delivered and a signature block confirming the goods arrived in good condition, deliberately with no prices or amounts. Copy the field reference, download the Excel workbook, or send a personalized delivery note for every delivery at once.

Rendered delivery note: header with delivery note number, carrier, and order reference, a deliver-to block, five line rows of delivered items, and a signature block

E-invoicing notice

A spreadsheet or PDF invoice generated here is not a structured e-invoice. Germany, Italy, Poland, France, and Spain each require, or are actively phasing in, a specific electronic format (like XRechnung, FatturaPA, KSeF, Factur-X, or Verifactu) delivered through a government platform or accredited network, not an emailed spreadsheet or PDF. Check whether your country's mandate already applies to your business before relying on this template for a sale that has to be reported that way.

A delivery note travels with a shipment or hand delivery as proof of what was delivered: each item and quantity, the carrier, and a signature block for the recipient to confirm the goods arrived in good condition. Unlike a commercial invoice or packing list, it is meant to be signed on receipt, not just read.

A business delivering to multiple locations or customers in a period ends up writing out a near-identical delivery note each time. Upload this workbook as an Excel template to MailMergic, upload a spreadsheet with one row per delivery, and generate one personalized delivery note per row, ready to print and sign on arrival.

What is inside the Excel download

More than a plain spreadsheet an AI chat can improvise: a complete, formula-driven workbook built for billing and shipping teams who use it for real.

  • Carrier and order reference fields up front, so the delivery note ties back to the order it fulfills.
  • Five line rows for what was delivered, description and quantity only, deliberately with no prices or amounts on the document.
  • A goods-received-in-good-condition line with a signature, received-by name, and date, built for the recipient to sign on arrival.
  • Native @token merge fields already wired for generating delivery notes across a whole batch of deliveries.

Field reference

Copy the plain field list below, or download the formatted Excel workbook with the formulas and layout built in.

DELIVERY NOTE - FIELD REFERENCE

Spreadsheet columns, not letter prose: every @token below is bound to a cell
in the workbook, listed in the order it reads down the page. Your own
business details (name, address, VAT ID, bank details) are typed directly
into the template and are not @tokens, so they are not listed here.

Before you send this delivery note

  1. 1.Confirm the quantities on each line match what is actually being delivered, not what was originally ordered, if the delivery is partial.
  2. 2.Check the order reference against the original order or proforma so the two documents stay linked.
  3. 3.Keep a signed copy of every delivery note; it is your evidence the recipient accepted the delivery in the stated condition.
  4. 4.Do not add prices to this document; keep pricing on the invoice or commercial invoice where it belongs.
  5. 5.Follow up promptly if a delivery note comes back unsigned or with a condition note attached.

Delivery note FAQ

What is a delivery note used for?
It travels with a shipment as proof of what was delivered and gives the recipient a place to sign confirming the goods arrived, and in what condition, which protects both sides if a dispute comes up later.
Is a delivery note the same as a packing list?
They are similar and sometimes used interchangeably, but a delivery note is built to be signed by the recipient on arrival, while a packing list is more often used internally or by customs to verify contents without a signature requirement.
Does a delivery note need to show prices?
No, and this template deliberately leaves them out. A delivery note confirms physical receipt of goods; pricing belongs on the invoice or commercial invoice for the same order.
Can I generate delivery notes for several deliveries at once?
Yes. Upload this workbook as an Excel template to MailMergic, put each delivery's carrier, order reference, and line items in a spreadsheet row, and run a mail merge to generate one personalized delivery note per delivery.

Other invoice and billing templates

These templates and country tables are general information, not legal advice, and not tax advice. VAT and invoicing rules vary by country and change often, and several of the countries in the table are actively phasing in new e-invoicing mandates. Confirm the current requirements for your jurisdiction, or consult a tax advisor or accountant, before relying on them for a real invoice.
